INTRODUCTION

1.1 Purpose

This Privacy Policy explains how Yamazaki Clan ("we", "us", "our") collects, uses, discloses, and protects your information when you use our website, Discord server, Roblox group, and associated services ("Services").

1.2 Scope

Applies to all visitors, applicants, and members. By using the Services, you consent to this policy. If you disagree, do not use the Services.

1.3 Data Controller

Yamazaki Clan Council of Elders is the data controller. Contact: legal@yamazaki-clan.com or Discord #clan-council.

INFORMATION WE COLLECT

2.1 Information You Provide

Roblox username, Discord tag/user ID, application responses (why you want to join, referral), optional contact email for verification, any support ticket content.

2.2 Information We Generate

Honor Point totals and history, rank progression data, event attendance records, disciplinary records, trial completion status, recruitment referrals.

2.3 Information from Third Parties

Discord API: user ID, username, avatar, roles, joined timestamp. Roblox API: user ID, username, display name, group rank, join date. Used only for verification and sync.

2.4 Technical Data (Automatic)

IP address (hashed), browser type, device info, referrer, pages visited, timestamps, error logs. Collected via standard web server logs and analytics.

2.5 Information We DO NOT Collect

Passwords, email addresses (unless voluntarily provided), payment/billing info, precise geolocation, contacts, messages content (Discord DMs), government IDs, biometric data.

HOW WE USE YOUR INFORMATION

3.1 Membership Management

Process applications, verify identity, manage trial periods, track rank progression, maintain member roster, facilitate communication.

3.2 Honor Point System

Calculate and display HP totals, generate leaderboards, determine rank eligibility, track activity streaks, distribute rewards.

3.3 Security & Moderation

Detect ban evasion, prevent alt accounts, investigate rule violations, enforce disciplinary actions, protect clan assets.

3.4 Communication

Send clan announcements, war/event notifications, rank change notices, application status updates, disciplinary notices. Opt-out available for non-critical.

3.5 Analytics & Improvement

Aggregate member activity trends, website usage statistics, improve clan systems, plan events. Data anonymized.

3.6 Legal Compliance

Respond to valid legal requests, enforce Terms of Service, protect rights/safety of clan and members.

DATA SHARING & DISCLOSURE

4.1 Internal Access

Council of Elders (full access), Officers (member management data), Event Coordinators (attendance data). Access logged and reviewed quarterly.

4.2 Public Display

Leaderboards show: username, rank, HP total (opt-out available in profile settings). Member directory: username, rank, join date (officers+ only).

4.3 Discord & Roblox Integration

Sync roles/ranks between platforms. Your Discord nickname may be updated to show clan rank. Roblox group rank reflects clan rank.

4.4 Service Providers

Hosting (Vercel/Netlify), Analytics (Plausible/friendly), Discord bot hosting. Providers process data only per our instructions under GDPR-compliant DPAs.

4.5 Legal Requirements

We may disclose data if required by law, court order, or to protect life/safety. We will notify you unless legally prohibited.

4.6 No Sale of Data

We NEVER sell, rent, or trade your personal information to third parties for marketing or any other purpose.

DATA RETENTION & DELETION

5.1 Active Members

Data retained for duration of membership plus 1 year after departure for record-keeping and appeal processes.

5.2 Expelled/Rejected Members

Rejected applications: 90 days. Expelled members: 1 year (for ban evasion detection). Blacklisted: indefinitely (minimal identifier only).

5.3 Logs & Analytics

Server logs: 30 days. Aggregated analytics: indefinitely (anonymized). Discord audit logs: per Discord retention.

5.4 Your Deletion Rights

Request full data deletion via Discord ticket or email. Processed within 30 days. Note: deletion forfeits membership, rank, HP, and history. Cannot be restored.

YOUR RIGHTS

6.1 Access & Portability

Request copy of all data we hold on you. Provided in JSON/CSV within 30 days. Free of charge.

6.2 Rectification

Correct inaccurate data. Submit correction request via Discord ticket.

6.3 Erasure ("Right to be Forgotten")

Request deletion as described in Section 5.4. Some data may be retained if legally required.

6.4 Restriction & Objection

Restrict processing (e.g., opt out of leaderboards, analytics). Object to legitimate interest processing.

6.5 Withdraw Consent

Where processing is based on consent (marketing comms), withdraw anytime. Does not affect lawfulness of prior processing.

6.6 Lodge Complaint

Right to complain to your local data protection authority (e.g., ICO UK, CNIL France, state AG US).

SECURITY MEASURES

7.1 Technical Safeguards

HTTPS/TLS 1.3 everywhere. Hashed IP storage. Role-based access control. Audit logging. Regular dependency updates. CSP headers. XSS/CSRF protection.

7.2 Organizational Safeguards

Principle of least privilege. Quarterly access reviews. Incident response plan. Staff training on data handling. No single point of failure for data access.

7.3 Breach Notification

If a breach risks your rights, we notify affected members and authorities within 72 hours per GDPR. Notification via Discord announcement and email (if provided).

INTERNATIONAL TRANSFERS

8.1 Hosting Locations

Primary hosting: United States (Vercel), Europe (fallback). Discord: US/EU. Roblox: US. We use Standard Contractual Clauses where required.

8.2 Your Consent

By using Services, you consent to transfer to these jurisdictions. Adequacy decisions or SCCs apply.

CHILDREN'S PRIVACY

9.1 Age Minimum

Services not directed to children under 13. We do not knowingly collect data from under-13. If discovered, we delete immediately.

9.2 Parental Consent

Ages 13-17: we rely on Discord/Roblox parental consent mechanisms. We do not independently verify.

CHANGES TO THIS POLICY

10.1 Updates

We may update this policy. Material changes announced via Discord #announcements 14 days before effective date. Continued use = acceptance.
